First you need to find out which systems have the information you are looking for. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Then, you\u2019ll need to request access to those systems and learn how to navigate them. In some cases, data may be locked in PDF files or in other formats that internal search engines have trouble indexing.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Three of the most common roadblocks to employee onboarding and effectiveness are:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Access to internal applications<\/li>\n\n\n\n<li>Knowledge of how to use internal applications<\/li>\n\n\n\n<li>Time and effort needed to navigate internal applications<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">With the advent of Generative AI, we now have the ability to get precise and concise information from known data sources to drive employee efficiency higher.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Introducing Knowledge Workbot Accelerator<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Workato\u2019s Knowledge Workbot Accelerator solves the issue of getting the correct information quickly even without prior knowledge of applications.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Because the world of Generative AI is constantly evolving, we created a modular accelerator that adapts to any external product, including LLM, Vector Database, and Datastore.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>How It Works<\/strong><\/h2>\n\n\n\n<figure class=\"wp-block-image size-full\"><a href=\"https:\/\/blog2workato.wpengine.com\/wp-content\/uploads\/2026\/09\/workato-10-23.png\"><img decoding=\"async\" src=\"https:\/\/blog2workato.wpengine.com\/wp-content\/uploads\/2026\/09\/workato-10-23.png\" alt=\"How Knowledge Workbot Accelerator Works\" class=\"wp-image-34378\"\/><\/a><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Knowledge Workbot Accelerator works by using Prompt Engineering with a Vector Embedding Database Pattern.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This pattern has two parts:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>The Data Ingestion Module ingests organizational data into the Vector database as embeddings.<\/li>\n\n\n\n<li>The Interaction Module gets questions from users and generates responses from Vector search &amp; LLM.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Please note that the Data Ingestion Module relies on application identification and availability, and users must decide the frequency with which data for ingestion is refreshed.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Knowledge Workbot Accelerator provides out-of-the-box integration with <a href=\"https:\/\/docs.workato.com\/en\/connectors\/confluence.html\">Confluence<\/a>, <a href=\"https:\/\/docs.workato.com\/en\/connectors\/github.html\">GitHub<\/a>, and on-prem files as data sources and can easily support other applications.\u00a0<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Addressing Data Security Concerns<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Data security is essential when dealing with sensitive and confidential internal information. That\u2019s why Knowledge Workbot Accelerator offers the following security features:&nbsp;<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Support for encrypting content and removing PII information from data before storing it in a Vector database.<\/li>\n\n\n\n<li>Workato\u2019s zero-retention feature can be used to avoid data storage during processing.<\/li>\n\n\n\n<li>Access control for provisioning restrictions.<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>The Importance of Continuous Data Refresh<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Keeping data ingested by the Vector database up to date is important to ensure optimal user outcomes.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Knowledge Workbot Accelerator will store user session details for each interaction, including token consumption, prompt and answer, and feedback requests. Any access control you may want to put in place is at the Workbot level.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Currently, only text and PDF formats are supported in the accelerator. Customers with smaller datasets may be able to use Workato\u2019s internal datastore indefinitely.\u00a0<\/li>\n\n\n\n<li>Workato provides platform connectors for <a href=\"https:\/\/docs.workato.com\/en\/connectors\/openai.html\">OpenAI<\/a> and <a href=\"https:\/\/docs.workato.com\/en\/connectors\/azure-openai.html\">Azure OpenAI<\/a>.
