{"id":1816,"date":"2026-01-14T14:51:59","date_gmt":"2026-01-14T19:51:59","guid":{"rendered":"https:\/\/blog2wrkdev.wpenginepowered.com\/hr-automation-examples\/"},"modified":"2026-09-30T07:58:45","modified_gmt":"2026-09-30T11:58:45","slug":"hr-automation-examples","status":"publish","type":"post","link":"https:\/\/blog2workato.wpengine.com\/hr-automation-examples\/","title":{"rendered":"HR Automation Explained: Definition and 5 Real Examples"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">When we surveyed 100 IT executives as part of our <a href=\"https:\/\/discover.workato.com\/how-automated-is-your-enterprise\/p\/1?ref=connector-hr-examples\">State of Automation study<\/a>, we found that many organizations already automate several employee and candidate-focused workflows.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">More than half (56%) of respondents, for example, said that their organization is automating their PTO request and approval process, while just shy of half (43%) are automating their application provisioning process.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Why are HR automations so pervasive? And how are organizations automating the employee workflows mentioned above\u2014among others?&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We\u2019ll tackle both questions. That way, you&#8217;ll know why HR automations are so important as well as how you can implement them successfully.&nbsp;But to start, let\u2019s align on the meaning of HR automation.<\/p>\n\n\n\r\n    <div class=\"article__cta\">\r\n\t\t            <div class=\"article__cta-center\"\r\n                 style=\"background-image: url('')\">\r\n                <h4 class=\"article__cta-center_title\">Transform any HR process with Workato<\/h4>\r\n\t\t\t\t            <\/div>\r\n\t\t    <\/div>\r\n\n\n\n<h2 class=\"wp-block-heading\" id=\"1\"><strong>HR automation<\/strong> definition<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>HR automation is the use of automation to transform an HR process.<\/strong> This requires a platform that can listen for predefined business events (or triggers); depending on the event that takes place, the platform would go on to perform specific actions across your applications, data, and employees.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">As you\u2019ll see in our examples below, HR automations frequently leverage chatbots that bring automations directly to where employees already work\u2014your business communications platform.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"2\"><strong>HR automation examples<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Let\u2019s explore several use cases that cover different HR processes, from recruiting to onboarding to off-boarding.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong><strong>1. Scale employee referrals by simplifying the submission process<\/strong><\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Numerous studies point to the benefits of referring candidates. For example, referral candidates are <a href=\"https:\/\/www.hrtechnologist.com\/articles\/recruitment-onboarding\/3-reasons-why-referrals-are-the-way-forward-for-recruitment-in-2018\/\" target=\"_blank\" rel=\"noreferrer noopener\">easier to recruit<\/a>, and once they&#8217;re hired, they\u2019re more likely to stay at your company for longer.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The question then, isn\u2019t if you should hire employees via referrals\u2014it\u2019s how you can increase the number of referrals for an open position.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Here\u2019s an automation that can help, as it allows employees to submit referrals within the comfort of their business communications platform (e.g. <a href=\"https:\/\/www.workato.com\/integrations\/slack?ref=connector-hr-examples\">Slack<\/a>).<\/p>\n\n\n\n<figure class=\"wp-block-embed aligncenter is-type-video is-provider-youtube wp-block-embed-youtube wp-embed-aspect-16-9 wp-has-aspect-ratio\"><div class=\"wp-block-embed__wrapper\">\n<iframe title=\"Referral Bot Demo - Unexpected Automations\" width=\"500\" height=\"281\" src=\"https:\/\/www.youtube.com\/embed\/KK9CaPJtg4g?start=7&amp;feature=oembed\" frameborder=\"0\" allow=\"accelerometer; autoplay; clipboard-write; encrypted-media; gyroscope; picture-in-picture; web-share\" referrerpolicy=\"strict-origin-when-cross-origin\" allowfullscreen><\/iframe>\n<\/div><\/figure>\n\n\n\n<ol class=\"wp-block-list\">\n<li>An employee accesses a chatbot within their business comms platform and types in a command, like \u201cadd new referral.\u201d<\/li>\n\n\n\n<li>The employee then sees a pop-up where they can add information about the candidate, such as their first name, last name, the position they\u2019re being referred for, the link to their Linkedin profile, etc.<\/li>\n\n\n\n<li>Once submitted, the chatbot creates the candidate profile in your applicant tracking system (ATS), and, in the profile, it adds the information provided by the referrer.<\/li>\n\n\n\n<li>The recruiter then gets notified of the referral in the business comms platform, where they can forward the candidate to the hiring manager with the click of a button.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">It\u2019s worth noting that the chatbot also keeps the employee who submitted the referral in the loop, as they\u2019d get notified when the candidate has either been hired or rejected.<\/p>\n\n\n\n\n\n<h3 class=\"wp-block-heading\"><strong><strong>2. A member of the BT team can then confirm whether they have enough licenses to accommodate the provisions or if they need to acquire more. A team member would then go on to schedule the appropriate provisions for the beginning of the new hire\u2019s first day.<\/li>\n\n\n\n<li>Once the new hire comes onboard, they can request access to additional apps or to different access levels for any via another chatbot (which we refer to as \u201cFirefighter Bot\u201d).<\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading\"><strong><strong>3. Employees can avoid tedious, time-consuming tasks<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Automation helps your employees avoid manual activities, such as app hopping or data entry. Automating tasks while ignoring processes&nbsp;<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Many tools in the market are also geared towards automating HR-related activities that your employees already perform. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And while this offers some benefits, such as time savings and a reduction in human errors, it doesn\u2019t let you reimagine and transform key parts of the employee experience (e.g. onboarding).<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>4. Over relying on specific HR apps<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Having your team implement integrations and automations inside of HR applications, like your HRIS, presents a few issues. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For one, these implementations require a very specific skillset that\u2019s difficult to find and retain. Moreover, if and when your organization needs to move away from that application, all of the integrations and automations you\u2019ve built inside of it will also go away.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>5. Building brittle automations at the UI-level&nbsp;<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Your applications\u2019 UIs will inevitably change over time. To help make your decision easier, let\u2019s review the options you\u2019ll likely need to consider:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">1. <strong>Native integration<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">This involves using the integration capabilities provided by your HR tools themselves\u2014whether that\u2019s your HRIS, ATS, learning management system (LMS), employee survey platform, etc.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Native integrations typically come at a low price point (they may even be included in your subscription); they also often come with a high level of support, as the vendor sees them as a way to retain (and perhaps extend) customer relationships.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That said, their functionality is generally limited, as the vendor can\u2019t assign many engineering resources toward maintaining and enhancing them. Moreover, they may only offer integrations to select vendors, making them potentially irrelevant or insufficient, based on your organizations\u2019 needs.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2. <strong>Robotic process automation (RPA) software<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">RPA provides \u201cbots\u201d, or software scripts, that can copy human activities at the UI level (e.g. copying and pasting information between applications).&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">By using RPA software to perform these tasks, employees are freed up to focus on more interesting and important activities. In addition, they\u2019re able to avoid mistakes that typically come with performing data entry-type work (i.e. human errors).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">However, RPA software\u2019s bots can easily break. A small change in an application\u2019s UI, for example, can be all it takes to stop a bot from working. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Given its vulnerability, RPA software typically requires oversight and maintenance; if used at scale, you might even need several full-time employees to manage the platform.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>3. Integration platform as a service (iPaaS)<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">An iPaaS allows you to connect your SaaS applications and on-prem systems (that use APIs) and build data flows between them.
